PBJ Policy Manual and PBJ Manual FAQ updated 4/18/17

CMS has updated two Payroll-Based Journal documents to reflect changes made to submission guidelines. The affected documents are:

The FAQ document provides information on entering hire date and termination dates for employees, something that was a concern to providers. The Hire Date and Termination Date fields are optional, but for providers that still wish to enter this information, the FAQ document has specifics on where to look for more information.

The updated Policy Manual notes:

  • Once a provider has uploaded its final data file, it needs to check their Final File Validation Report (accessed via CASPER) to ensure the data was successfully transmitted. When planning for data submission, it can take 24 hours to receive the validation report, and then you need to leave yourself time to correct and resubmit data if necessary, so keep that in mind. Submissions after the deadline will be accepted but not considered timely.
  • Information on Hire Date and Termination date is located here as well
  • Regarding Labor Codes/Job Descriptions, the Manual clarifies that three positions are not required/optional:
    • Dentist
    • Podiatrist
    • Vocational Service Worker

You can view all the Payroll-Based Journal information on the CMS website.
